UserGems & HubSpot Sequences Configuration with Gem-E Messaging

While UserGems and HubSpot Sequences don't integrate directly, UserGems does directly integrate with HubSpot. The UserGems <> HubSpot integration enables:

  1. The sync of Contacts and Companies between UserGems and HubSpot
  2. UserGems to automatically add Contacts directly to the right Sequence to reduce the manual work for your reps and ensure timely followup

Steps

1. Create Gem-E fields in HubSpot

  1. Within HubSpot, navigate to Settings > Properties (under Data Management)
  2. Make sure Contact Properties is selected in the Select an Object dropdown
    • Optionally, create a Group for these fields called Gem-E Fields to keep the fields grouped together and the layout clean
  1. On the Properties tab, click Create property
  1. Use the field types and labels from the table below to create all 14 Gem-E fields
    • Note: it's important to create all Subject fields listed below, though you will notice that some are not referenced in the table in Step 3 below

2. Add a Campaign Workflow Action to Update CRM Fields

  1. Go to Campaigns in the UserGems app
  2. Select a Campaign to edit
  3. Add an Update CRM Fields action (after the Activate Gem-E action)
  4. Select the object you’re updating
  5. Add all Gem-E properties under the CRM field section (our screenshot shows a few as an example)
    • For each field row, select New Value = "Dynamic"
    • Map each CRM property to the dynamic Gem-E value by clicking the Label dropdown
  6. Make sure the toggle in the top right is set to "Action On" and save the Campaign

3. Create Templates for Sequences

  1. Within HubSpot, navigate to CRM > Message Templates > New Template
  1. Name the Template "Gem-E Email 1"
  2. Click Subject > Personalize > Search for "Gem-E Subject 1"
  3. Click into the body of the Template > Personalize > Search for "Gem-E Content 1"

4. Create Sequences

Next, create a new HubSpot Sequence using the custom properties created in Step 1. The properties will dynamically populate with Gem-E messaging when a contact enters the sequence. See this article about creating a Sequence in HubSpot.

Your sequence structure should look like one of the tables below.

  1. In HubSpot, navigate to Sales > Sequences > Create Sequence
  1. Add the Templates that were created in Step 2 to the Sequence. Search for "Gem-E Email 1" first.
  1. Check the Delay (number of business days) between Sequence steps. If the second email will send on day 6, then the Delay will be 5 business days.

5. Set Up Workflow

  1. In HubSpot, navigate to Automation > Workflows > Create Workflow
  1. Select Triggers > Data values > Record meets a set of filter conditions
  1. Select Contact > Contact Properties
  1. Search for "Gem-E Content 1" and make the criteria "is known"
  1. Click Next > Save & Continue
  2. Add an action
  3. Go to Communications > Enroll in a sequence
  1. Select the Sequence you created in Step 3, "Gem-E Sequence"
  2. Choose the Sender and Contact Owner Property. We suggest "Contact Owner" for both.
  1. Click Save.

6. Publish Workflow 🚀

After creating the properties, templates, sequence(s), and workflow, you're ready to publish the workflow!

Navigate to Review and Publish to activate the workflow.
